If you need to print a large amount of labels, each with unique information, you can automate this task using the Mailing List feature in MS Word.
Start with a spreadsheet
- Create or use an existing spreadsheet. (See attached example no.1)
- Make sure to label the top row for each column with the title. (Name, Job Title, Date, etc)
- Fill in each field with the info that needs to be printed.
- Save sheet.
Make a new Word document
- Go to the Mailings tab.
- Click Start Mail Merge and select Labels from the drop down.
- Select your label type from the list, or click New Label and fill in label dimensions. (for 4x6 Zebra labels, see attached example no.2)
- Under the Mailings tab click Select Recipients then click Use Existing List.
- Navigate to you Excel spreadsheet and open it. Click OK.
- Click Insert Merge Field, you should see column labels from your spreadsheet. Select one to place into your label.
- Arrange the <<ColumnData>> to your liking. This will change on each label, reflecting your spreadsheet data. Click Preview Results to verify your label.
- Once done, click Finish & Merge and select print.
- Verify your printer is set up to make your labels correctly before printing a large list.
