How to print multiple unique labels from a spreadsheet in sequence

If you need to print a large amount of labels, each with unique information, you can automate this task using the Mailing List feature in MS Word.

Start with a spreadsheet
  1. Create or use an existing spreadsheet. (See attached example no.1)
  2. Make sure to label the top row for each column with the title. (Name, Job Title, Date, etc)
  3. Fill in each field with the info that needs to be printed.
  4. Save sheet.
Make a new Word document
  1. Go to the Mailings tab.
  2. Click Start Mail Merge and select Labels from the drop down.
  3. Select your label type from the list, or click New Label and fill in label dimensions. (for 4x6 Zebra labels, see attached example no.2)
  4. Under the Mailings tab click Select Recipients then click Use Existing List.
  5. Navigate to you Excel spreadsheet and open it. Click OK.
  6. Click Insert Merge Field, you should see column labels from your spreadsheet. Select one to place into your label.
  7. Arrange the <<ColumnData>> to your liking. This will change on each label, reflecting your spreadsheet data. Click Preview Results to verify your label.
  8. Once done, click Finish & Merge and select print.
  9. Verify your printer is set up to make your labels correctly before printing a large list.
